Booking, cancellation, And refund policy

At Sierra Ancestral, every retreat requires careful planning. This includes preparing accommodations, coordinating our team, planning meals, and organizing all retreat activities. Therefore, our booking policy is designed to be clear, transparent, and fair to all parties involved.

1. Booking Confirmation

Your booking is confirmed once:

  • you have completed the registration form, if required.
  • we have received the required deposit.
  • Sierra Ancestral has confirmed your participation in writing.

Spaces are limited and are allocated based on the order in which confirmed bookings are received.

2. Deposit

The deposit is non-refundable under any circumstances.

It secures your spot in the retreat and covers administrative and organizational costs incurred from the moment the booking is confirmed.

3. Date Changes

If you are unable to attend your booked retreat, you may request a one-time date change, provided that:

  • you notify Sierra Ancestral at least fifty calendar days before the retreat begins.
  • a spot is available in another retreat.

The new booking must be taken up within twelve months of the original retreat date.

After this period expires, the deposit is forfeited and cannot be applied to a future retreat.

4. Cancellations

If you cancel your booking less than fifty calendar days before the retreat begins:

  • the deposit will not be refunded.
  • the retreat cannot be rescheduled to a different date.

We appreciate your understanding, as retreat preparations will have already commenced by this time. ## 5. Cancellation by Sierra Ancestral

In exceptional cases, Sierra Ancestral may postpone or cancel a retreat for reasons including, but not limited to:

  • safety concerns
  • extreme weather conditions
  • natural disasters
  • public health emergencies
  • civil unrest
  • force majeure or other circumstances beyond our reasonable control

In such cases, participants may choose between:

  • transferring their payment to another available retreat date, or
  • receiving a refund for amounts paid for services that cannot be provided, excluding non-refundable costs incurred due to legal requirements or existing contractual obligations.

6. Travel Costs

Sierra Ancestral assumes no responsibility for costs associated with:

  • flight tickets
  • ground transportation
  • accommodation booked outside of Sierra Ancestral
  • travel insurance
  • flight rebooking
  • other travel-related expenses incurred by the participant

We therefore strongly recommend purchasing flexible flight tickets and comprehensive travel insurance.

7. Early Departure

If a participant wishes to leave the retreat before the scheduled end date, no refund will be issued for unused services.

CODE OF CONDUCT

Sierra Ancestral is a space for well-being, learning, mutual respect, and meaningful connection. Every participant plays a role in creating a safe, peaceful, and supportive environment.

By confirming your booking, you agree to:

  • Treat other participants, the Sierra Ancestral team, facilitators, and the indigenous communities—who generously share their traditions and knowledge with us—with courtesy and respect.
  • Respect all retreat facilities, nature, wildlife, and the surrounding environment.
  • Follow the guidance and instructions of the Sierra Ancestral team during activities and ceremonies.
  • Maintain an attitude of openness, active listening, kindness, and consideration regarding the experiences of others.
  • Refrain from any form of violence, harassment, discrimination, intimidation, intrusive behavior, or offensive language.
  • Refrain from bringing or consuming unauthorized psychoactive substances, alcoholic beverages, or medications not previously disclosed to the Sierra Ancestral team, if such items could compromise your safety or disrupt the retreat’s proceedings or experience.
  • Respect the privacy and confidentiality of personal experiences shared by other participants during the retreat.

Sierra Ancestral is committed to fostering an environment based on trust, mutual care, and respect for ancestral traditions. Any behavior that jeopardizes the safety, well-being, or harmony of the group may result in the individual being required to leave the retreat immediately, without entitlement to a refund.

These rules serve solely to protect the well-being of all participants and to ensure a safe, respectful, and meaningful experience for everyone.
